Job Details
SECRETARIAL WORK Greeting the visitors who’ll be coming to the office & to provide required assistance. Arranging travel plans, Visas and Accommodation for the Staff. Screening phone calls, enquiries and requests and taking necessary actions. To take notes or dictation at official meetings and to provide general assistance during presentations. To do the complete backend preparation for any upcoming Exhibition across the world. To Coordinate with the Sales Staff (All Locations) and ensure that there reporting is as per the format and is timely. Organising and maintaining diaries and scheduling appointments of the MD. Checking the incoming emails, faxes,calls & corresponding on behalf of the MD (If Authorized) Taking dictation and recording accurate facts as & when required. Carrying out background research and presenting the findings (For current & upcoming projects) Producing documents, reports and giving presentations. Organizing and attending meetings along with the MD. 12. Liasoning with clients, suppliers and other staff. 13. Devising and maintaining office systems, including data management and filing. 14. To do Photocopy,Scans & take printouts as & when required. 15. To prepare reports as & when required by the Management. 16. To negotiate prices with the suppliers and ensure that best quality product at right price is purchased. 17. To prepare the attendance sheet of SR-2 Staff & to coordinate with SR-1 in same regards. 18. Preparation of Delivery Order for any Sales done at SR-1 & SR-2. (As per Company Format) 19. To maintain Register/File for any ready stock order of Sales Team (SR-1 & SR-2).Regular interaction with Sales Team will be required for same. ADMIN WORK 1. To get the Banners/Posters/Visting Cards printed for the Staff and to coordinate with concerned people regarding same. 2. To ensure that the Telephone Lines/Internet/Fax/Lift/Staircase/Computers/Taps,Doors are in their best form and to coordinate with Engineers/Suppliers/Mechanics,Carpenter,Plumber etc to get it done. 3. To Coordinate with the Pest Control people to get timely fumigation done in the Showrooms & Offices. 4. To ensure minimum inventory level is maintained of necessary items like drinking water,Stationery,Letter Heads etc 5. To check the prices with vendors & negotiate the same for any purchase to be done. (Like Computers,Laptops,Mobiles,Stationery,Gift items etc) KEY QUALITIES REQUIRED 1. Should be Target oriented. 2. Must be able to work within tight deadlines. 3. Should be a go getter and must be able to work with minimum supervision. 4. Should be innovative in his approach in getting the things done. 
MANDATORY THINGS 1. Must to be a Graduate. 2. Should be only an Indian National. 3. Only Males are eligible to apply for this role. 4. Should have relevant Secretarial or Administration Skills either at India or at UAE. 5. Candidate must be physically present in UAE for Interview. (Other Country based Candidates kindly don’t apply)
